Event Space Request

The University allows designated indoor space to be reserved for events consistent with the University’s teaching, research, and service missions, administrative functions, and students’ campus-life activities. Reservations for these spaces are processed on first-come, first- served basis with priority given to University departments, registered student organizations, and other official University functions. Reservations are non-transferable and the University reserves the right to reschedule events consistent with University Space Rules

The University permits the use of designated indoor spaces for events that support its teaching, research, service missions, administrative functions, and student campus-life activities. To promote effective use of facilities and ensure a positive experience for all participants, event organizers are expected to adhere to the following policies. 

 

Scheduling Restrictions
Events may not be scheduled on University holidays or during periods when classes are not in session and university offices are closed. 

 

Food and Beverage Policy
Food and beverages are strictly prohibited in classrooms, with no exceptions. Organizations planning events that include food or beverages must coordinate with the Student Union to reserve an appropriate venue where such accommodations are permitted. 

 

After-Hours Events and Building Access
Requests for events scheduled outside of normal operating hours must be submitted at least one week in advance. For events held in a general pool building but not in a general pool classroom, organizers must also submit a separate email request at least one week in advance to ensure building access. Organizers should allow adequate time for event setup, early attendee arrival, and post-event cleanup and teardown, as building access will be granted strictly in accordance with the approved reservation or access request times. 

 

Room Reservation Guidelines
Event organizers are expected to reserve space responsibly by selecting a room that appropriately matches expected attendance and reserving only the number of rooms necessary. Careful planning helps ensure equitable access to campus facilities for all users. 

 

Student Organization Requirements
All student organizations must be registered with Student Life at the Student Union, and event space reservations must be completed through the official Student Life booking system. Not all general classroom pool spaces are available for scheduling.
