University Registrar training and information sessions

The Office of the University Registrar provides training and information sessions related to specific employee competencies required to maintain student records and course scheduling.

Student Information System (SIS) Access

The Request SIS Access Job Aid provides the sequence of information and forms required for requesting new or modifying access to SIS.

Institutional Data Policy training must be completed prior to obtaining a SIS account.

To assist in processing a Student Records request, be sure to include the following information in the Use Requirements field of the request form:

  • Job title of employee
  • Detailed description of tasks the employee needs to complete in the SIS

Student Records View Only

This course will prepare you to identify the basic components of the academic structure, understand how the academic calendar works and calculate the term within an academic year.

  • Requirements: Ohio State username.# and associated password.
  • Registration: When access is approved, an invitation will be sent to your Ohio State email. Completed through Carmen.
  • Time: Approximately 30 minutes.

This training session is designed to familiarize you with the Student Information System (SIS). This is an overview of the various student records and enrollment maintenance processes within the SIS.

  • Requirements: FERPA Training and Student Records View Only.
  • Registration: When access is approved, an invitation will be sent to your Ohio State email. Completed through Carmen. Please Email Office of the Registrar for more information.
  • Time: Approximately 1.5 hours.

(Family Educational Rights and Privacy Act of 1974, as amended)

This course is intended to provide an overview and introduction to the Family Educational Rights and Privacy Act of 1974 and how it is implemented at Ohio State. Completion of training is required of all who work with student data.

  • Requirements: Ohio State name.# and associated password, and an active employee affiliation.
  • Registration: Available through Buckeye Learn self-enrollment.
    • After login, search for FERPA then select The Family Educational Rights and Privacy Act at Ohio State. 
    • Select the Open Curriculum link to launch the training curriculum.
  • Time: Approximately 35 minutes.

Need help answering difficult transfer-related questions? Learn how to better serve your transfer students through this session. Transferology, accreditation, articulation, TAGs, OT36 and more are covered. 

  • Requirements: None.

  • Time: Varies. 

Online training is also available through Buckeye Learn. The Transfer Credit Center course is an hour-long overview of transfer credit and the International Transfer Credit Policy course provides a brief overview of international transfer credit.

Advisors and staff will learn how to tailor the Degree Audit Report to meet the needs of specific students by posting academic exceptions to individual student records.  

(Department staff)

This training is intended for department contacts who will enter and maintain class schedules in SIS. A department contact would be responsible for the following tasks: maintaining the class schedules for a department, entering new course sections, adding instructors to courses, maintaining enrollment caps, ensuring accurate grading basis and credit hours, etc. This training does not include academic advising or student enrollment topics.

  • Requirements: Ohio State username.# and associated password. Completion of the Protecting Institutional Data curriculum training in Buckeye Learn.
  • Registration: Register for Managing the Schedule of Classes training through Buckeye Learn
  • Time: Approximately 2.5 hours.
