Training

OUR Training and Information Sessions

Note that you must complete a training module on institutional data policies before obtaining a Student Information System (SIS) account. Visit the BuckeyeSecure website to read about and access the institutional data policy training. The training is delivered through Carmen, the university's course management and training system. You will need your lastname.# and associated password to access the training. It will take approximately 30 minutes to complete the training materials, including a final assessment and acceptance of the Institutional Data Usage and Confidentiality Agreement, which is necessary to fulfill the training requirement.

To request access to the Student Information System (SIS), complete the form located at.OCIO Security and Workflow Roles . Section 7 contains the request forms for Student Records access. Section 5 contains a list of persons who are authorized to request access. Remove access using the same form when a user leaves your department or college, or changes roles and no longer needs the same access level.

FERPA Training

Completion of training related to FERPA (Family Educational Rights and Privacy Act of 1974, as amended) is required of all who deal with student data. This online class is available through Carmen, the university's course management and training system. You will need your lastname.# and associated password to access the training. You should allow up to one hour for completion of this class. Visit Instructions for Enrolling in the FERPA Training for more details on registration.

u.select Training(for advisors and department staff)

Need help answering those difficult transfer-related questions? u.select is a web-based transfer database from which course equivalency and academic program information can be obtained from multiple schools. This includes information related to the quarter-to-semester conversion of the Ohio schools. All new and continuing staff are encouraged to participate in training. Degree Audit Exception System Training (for advisors and department staff)

Advisors and staff will learn how to tailor the Degree Audit Report to meet the needs of specific students by posting academic exceptions to individual student records. Courses, other than the ones normally accepted by the degree requirements, can be "inserted" into the Degree Audit making the inserted course an acceptable degree requirement course for an individual student. Courses can also be "deleted" or "exchanged" with another course in a specific degree requirement for an individual student. SIS Training for Student Records Users for advisors and departmental staff)

If you view or maintain student records information in the Student Information System (SIS), you are required to attend training and will receive an invitation to the appropriate course(s) when your access is approved. All student records users must complete the mandatory Student Records Introduction (online at carmen.osu.edu) and complete the survey at the end of the course to receive credit. All users must also complete the Student Records View Only session and the quiz at the end. Users with maintenance access are required to complete the hands-on Student Records: Enrollment for Maintenance Users training. Instructors with access to the Faculty Center are not required to attend training, but may find the online information (https://assist-erp.osu.edu/sis/WebHelp/facultycenter/ ) helpful in navigating the Faculty Center.

Scheduling Training (for department staff)

This training will cover the essentials of managing the Schedule of Classes in the Student Information System (SIS). Any new or continuing staff who manages the Schedule of Classes for their college or department should plan to attend a session.
